Tips on creating timelines, to-do lists, and budgeting spreadsheets.

So, you just got engaged, congratulations! 🥂 Now it’s time to talk about the plan. Do you know where to start?

Wedding planning can be fun and exciting, but most would say that it is overwhelming.  Trying to monitor your budget, the list of all the Austin, Central Texas or Hill Country venues you want to tour, keeping track of all your vendors and hunting down RSVPs from your guests, yikes...

I completely understand how it feels to want everything to be perfect, and trust me, it's possible to create a beautiful, stress-free wedding when you stay organized.

As a wedding planner, one thing I live by is this: Organization is key. In this post, we’ll share some helpful tips on how to stay organized during your wedding planning, focusing on three essential tools: timelines, to-do lists, and budgeting spreadsheets

1. Create a Wedding Timeline: Your Roadmap to Success

I know how easily the weeks can fly by during wedding planning. Before you know it, you're two months out from your big day, and it feels like there’s still so much left to do. That’s why creating a wedding timeline can be such a game-changer.

Wedding Planning Timeline Tips:

  • Start Early (12 Months to Go): Begin with a rough timeline of key milestones, like choosing your wedding venue and selecting vendors. This will help you feel like you're making progress from the very start. Now, brainstorm a rough timeline of your wedding day, including your ceremony, reception, and other key events.

  • Check In (6 Months to Go): This is when things start to pick up. By now, you’ll want to have most of your big decisions made (think: photographer, caterer, venue).

  • Crunch time (3 Months to Go): Confirm all details with vendors, create a seating chart, make sure your invites have been sent out!

  • Let’s finalize (1 Month to Go): Finalize your wedding timeline with your coordinator and ensure your photographer, DJ, officiant, and wedding party has everything they need for the big day, as well as rehearsal plans!

I promise, once you have a timeline in place, you’ll feel so much more at ease. Knowing exactly what to do and when to do it can make all the difference. And if you ever feel overwhelmed, I’m here to help guide you through every step!

2. Make To-Do Lists: Tackle Tasks One by One

Wedding planning can feel like an endless to-do list, and I know it can get overwhelming. But here’s the secret: break it down into smaller, more manageable tasks. That way, you’re not thinking about everything at once, but tackling one thing at a time.

How to Create Your Wedding To-Do List:

  • Prioritize: Focus on the most important things first, like securing your Austin wedding venue or booking your photographer.

  • Break It Down: Don’t be afraid to break things into categories: "Venue," "Food & Drink," "Flowers," "Music," etc. This way, you’ll feel accomplished as you check off tasks in each area.

  • Delegate When You Can: Planning a wedding is a big task, but you don’t have to do it alone. If friends or family offer to help, take them up on it! And remember, I’m here to help with anything you need—no task is too small for me to assist with.

By focusing on one thing at a time, you’ll feel so much more in control. I’m here to help you every step of the way, so nothing slips through the cracks!

3. Use Budgeting Spreadsheets: Keep Your Wedding Costs in Check

Weddings can get expensive, and I completely understand the desire to make sure you stay within your budget without sacrificing the wedding of your dreams while also avoiding last minute purchases that add up quick. That’s where a good budgeting spreadsheet comes in handy.

Wedding Budgeting Tips:

  • Track Every Expense: Start by listing all your potential wedding costs—venue, catering, décor, photographer, and more. Having a detailed list will keep you from missing any important expenses.

  • Build a Buffer: Things sometimes cost more than expected, so it’s always a good idea to have a little extra set aside (around 5-10% of your total budget) for unexpected costs.

  • Review Your Budget Regularly: I encourage you to check in with your budget every few weeks to ensure you’re staying on track. If things are going over, we can always make adjustments to keep things balanced.

I know budgeting isn’t always the most fun part of wedding planning, but it’s an essential one. And when you have a clear picture of where your money is going, it’s much easier to make decisions with confidence.

Conclusion

Staying organized is one of the most important steps you can take to ensure a smooth and stress-free wedding planning process. Whether you’re getting married in Austin or anywhere else, creating a wedding timeline, to-do lists, and budgeting spreadsheets will help you stay on track and reduce the overwhelm that can come with wedding planning.

With these tips, you’ll be able to focus on enjoying the process—and before you know it, your dream wedding will be here!
